Course Terms

Seats, the paid waiting list, payment deadlines and the 3-month refund rule for Nairobi West coaching and refereeing courses.

Effective 14 October 2026Last updated 14 October 2026

1. Which courses these terms cover

These terms cover coaching and refereeing courses run by FKF Nairobi West Branch and applied for at efkf.fkfnairobiwest.ke/courses. Courses run by the national office follow the Federation’s own terms on online.footballkenya.org.

Every time below is Nairobi time (EAT).

2. Seats and approval

Each course has a set number of seats. While seats remain, an approval holds one for you. Once the course is full, an approval puts you on the waiting list for that course and the intakes that follow it.

An approval does not expire while you wait. You are not asked to qualify again for a later intake.

3. Paying the fee

There is nothing to pay until your application is approved. The fee is then paid once, in full, by M-PESA to paybill 522522, account 1179400003, unless the course states its own payment instructions. Part payments are not accepted for courses.

  • Pay within 5 days of your approval.
  • If you are approved less than 5 days before the course starts, pay by 11:59 PM on the day before it starts.
  • The deadline is met when your M-PESA message is uploaded on your tracking page. How long the officers take to confirm it never counts against you.
  • We remind you by email on the third day and on the last day.
  • If the officers return your receipt (the wrong amount, or one they cannot read), you have 24 hours to upload a fresh one, even if that runs past the 5 days.

4. If the deadline passes unpaid

Your seat is released to the next person waiting. You still qualify: if the waiting list has room you are moved to it as approved but unpaid, and you may pay to join it on the same 5-day rule. If the list is full, the approval lapses until the next announcement.

5. The waiting list

  • The list is kept in the order receipts were uploaded, counted once the officers confirm the payment.
  • It holds up to 90 people for a course and the intakes that follow it, unless the branch sets another limit. When it is full the officers cannot approve more applications; they turn them down with the reason, and you may apply again at the next announcement.
  • A seat that frees up in a course already running goes to the first paid person waiting, even at short notice. You pay nothing more.
  • When the branch announces the next intake, the waiting list fills it in order before any seat is offered to new applicants.

6. If you can’t make the dates

Use “Can’t make these dates” on your tracking page, or tell the branch. You go back to the waiting list in your original place, and your payment is kept.

An offer made less than 5 days before a course starts is short notice, and you may turn it down with no penalty.

7. Refunds: the 3-month rule

If you have paid and no course is offered to you within 3 months of your payment, you may ask for your full fee back. The branch office pays it back by M-PESA and records the refund, and you leave the waiting list.

Turning down a course offered to you with notice (not short notice) gives up this refund right. You keep your place on the waiting list.

Apart from this rule, course fees are not refundable once paid.

8. Your fee is kept as paid

The fee you paid is the fee for your place. Being moved to a later intake never changes it, up or down.

9. Letters and questions

Every step is emailed to you by FKF Nairobi West and shown on your tracking page at /courses/track. For questions, write to info@fkfnairobiwest.ke or message the branch on WhatsApp, with your tracking number.
